The Role
My client, a leading European manufacturer is seeking a friendly, experienced Front Office Coordinator to join their team. Thus is a full-time, permanent, office based position.
As the Front Office Coordinator, you will be responsible for acting as the first point of contact for visitors and colleagues while delivering a professional front-of-house experience and providing essential administrative support to ensure the smooth day-to-day running of the office.
Tasks & Duties
- Operate the main switchboard, managing and directing incoming calls in a professional and efficient manner.
- Greet and welcome visitors, providing a professional front-of-house experience while managing visitor logs, security procedures, and badge issuance.
- Provide accurate information in person, by phone, and via email, ensuring a high standard of communication at all times.
- Maintain the reception area to a high standard, ensuring it is always tidy, organised, and professionally presented.
- Provide administrative support to the service team, including scheduling, correspondence, document management, and follow-up actions.
- Support the Office Manager with day-to-day operations, including office supplies, facilities coordination, and supplier liaison.
- Coordinate meetings, book rooms, prepare materials, and organise travel and accommodation for staff and visitors as required.
- Assist with wider office coordination tasks, including event organisation, system and process support, compliance with company policies, confidentiality, and ISO 45001 health & safety standards, while participating in ongoing training and development.
Experience, Knowledge & Qualifications
- Previous experience in a front office, reception, or administrative role is essential.
- Excellent communication and interpersonal skills with a professional, customer-focused approach.
- Strong organisational skills with excellent attention to detail.
- Ability to manage multiple tasks effectively in a busy office environment.
- Proficiency in Microsoft Office and general office systems.
- Full Irish or EU driving licence is essential as travel is required.
