The Role

Our client is a well-established business based in Offaly and is seeking a highly organised, hands-on Assistant Office Manager to support the day-to-day running of the business.

The successful candidate will be someone who can take ownership, work independently and keep things moving without needing to be constantly directed.

This is a fast-paced role where priorities can change quickly and no two days will necessarily be the same.

Key Responsibilities

  • Support management with the efficient day-to-day running of the office.
  • Manage general administration, correspondence, documentation and records.
  • Prepare information and documentation for audits, inspections and certification requirements.
  • Support HR administration, including employee records, onboarding, training, holidays, absences and related documentation.
  • Prepare management reports, spreadsheets, trackers and other information as required.
  • Coordinate with suppliers, customers and external contacts where required.
  • Track outstanding actions and ensure they are followed through to completion.
  • Assist management with projects, process improvements and other business requirements.
  • Identify opportunities to improve processes and increase efficiency.
  • Take on additional responsibilities as required to support the effective running of the business.

The Person

We are looking for someone who is:

  • Highly organised, efficient and extremely reliable.
  • Naturally proactive and able to identify what needs to be done.
  • Comfortable working in a busy, fast-paced environment.
  • Able to manage multiple priorities and deadlines.
  • Hands-on and willing to get involved in whatever is required.
  • Accurate and detail-focused.
  • Commercially aware and comfortable dealing with figures.
  • Confident handling confidential information.
  • A strong communicator who can deal professionally with customers, suppliers, employees and management.
  • Comfortable working independently and taking responsibility.
  • Someone who looks for ways to improve processes and make the business more efficient.

Experience

Essential

  • Previous experience in an Office Management, Senior Administration, Business Administration or similar role.
  • Experience working in a busy office environment.
  • Strong administration and organisational skills.
  • Strong Excel and Microsoft Office skills.
  • Competent using AI tools such as ChatGPT and Claude.

What Success Looks Like

The successful person will become a key support to management, taking ownership of the administration and business support function and ensuring that important tasks, deadlines, compliance requirements and paperwork do not fall through the cracks.

This is an excellent opportunity for an experienced administrator or office professional who enjoys having responsibility, working across different areas of a business and making a genuine impact.
