The Role
My client, a specialist tax advisory firm is seeking an experienced and organised Administrative Assistant to join their team. This is a full-time, permanent, office based position.
As the Administrative Assistant you will be responsible for providing high-level administrative and client service support to two Chartered Tax Advisors by managing communications, coordinating client files, and ensuring efficient day-to-day case and office operations.
Tasks & Duties
- Manage and organise incoming client correspondence, ensuring emails are prioritised, actioned, and responded to in a timely manner.
- Act as a first point of contact for calls, screening and directing queries, taking messages, and resolving simple client requests where appropriate.
- Support client service delivery by maintaining accurate client files and ensuring matters progress smoothly through liaison with internal team members.
- Open new client files and complete AML (anti-money laundering) checks and associated onboarding administration.
- Coordinate diaries and meetings, including scheduling, confirmations, and arranging logistics for both in-person and virtual meetings.
- Provide general administrative support to Chartered Tax Advisors, including document preparation, scanning, and assistance during client meetings.
- Maintain accurate records and data entry on the case management system, ensuring information is kept up to date and compliant.
- Assist with general office support tasks, including liaising with external suppliers (e.g. IT, cleaners, maintenance) and handling ad hoc duties as required.
Experience, Knowledge & Qualifications
- Minimum 3 years’ experience in a professional office environment, ideally within legal, tax, or professional services.
- Excellent communication skills with confidence interacting professionally with clients and colleagues.
- Strong organisational skills with the ability to manage multiple tasks, prioritise effectively, and maintain high attention to detail.
- Proficient in Microsoft Office (Word, Excel, Outlook) with strong general IT skills; experience with case management systems is an advantage. Typing speed of 40–50 wpm required.
- Reliable, proactive, and self-motivated, with the ability to work independently and as part of a small team.
- Candidates must have the right to work in Ireland and be within daily commuting distance of the office.
