Sales Order Processing & Administrator

Job Overview

He/She is responsible to ensure all volume sales order processing activities are followed up and closed out as quickly and efficiently as possible.

The successful candidate will be responsible for ensuring the Department team members are kept fully informed of any complaints received and must escalate to the Head of Operations as appropriate.

Main Duties/Responsibilities:

  • Processing of Sales orders for two Regional teams
  • Entering orders to the system
  • Checking invoices against pending orders that do not correspond
  • Investigating Invoices from manufacturer regarding orders
  • Meeting month end deadline in conjunction with the calculation of commission statements on a monthly basis
  • Comparing Sales Location Report to Summary Sales Report to ensure they correspond at month end
  • Sending Commission Statements to x Dispensers and Calculating deduction of commission for Follow Up Report on a monthly basis
  • Sending Management Reports at month end for the regional teams
  • Customer Aging Report - investigating and solving imbalances and discrepancies on customer accounts to include, deposits and any errors on a monthly basis
  • Processing refunds - client overpayment
  • Processing bounced cheques
  • Copy of receipt issuing
  • Filing all related documentation in a timely and accurate manner
  • Participate in cross-functional training as required and instructed from time to time
  • Carry out any other duties as instructed by the Operations Manager or other Officer as assigned by the Managing Director

Work Experience and Skills Required:

  • Strong Communication Skills both written and oral
  • Excellent Telephone Skills and Manner
  • Previous Office/Secretarial Experience Essential
  • Previous experience of working in ERP systems in Sales Order Processing or Invoicing
  • Professional Standard of Computer Literacy in particular Microsoft Office Suite
  • High level of numerical accuracy (Commission Statements)
  • Understand priorities with the ability to meet tight deadlines
