Job Overview

Reports to: Senior Personal Assistant/Manager

Job Purpose: To provide administrative and secretarial support to the senior management team or executive team, to enable them to operate effectively and efficiently.

Key Responsibilities:

  1. Provide administrative support to the senior management team or executive team, including arranging appointments, travel, and accommodation.
  2. Prepare and distribute documents, reports, and correspondence as required.
  3. Take minutes and actions from meetings and circulate these to attendees.
  4. Manage and maintain the senior management team or executive team's diary and email, responding to queries and directing correspondence as appropriate.
  5. Liaise with internal and external stakeholders, including clients, suppliers, and colleagues.
  6. Handle confidential information with discretion and professionalism.
  7. Carry out ad-hoc duties as required to support the smooth running of the department.

Qualifications and Experience:

  1. Relevant qualifications in secretarial studies, administration or business studies.
  2. Prior experience in a similar role, preferably within a corporate environment.
  3. Excellent organisational and time-management skills.
  4. Strong communication and interpersonal skills.
  5. Ability to work well under pressure, manage multiple tasks and prioritise workload.
  6. Proficient in Microsoft Office applications.
  7. Excellent attention to detail.
