Document Controller - 12 mnt Contract - €40K

Job Overview

This document controller position is full-time, 12-month fixed term contract. It is hybrid with the head office being located in Dublin 2. You can go into the office 2 times a month.

About the position:

You will be reporting into the Operations Manager

  • Handling intake, scanning, verification, and storing documents
  • Managing the folder system - Ensuring documents are correctly named and filed in SharePoint
  • Maintaining the confidentiality of sensitive documents
  • Digitising records not already in electronic format
  • Review and cleansing of information in the databases
  • Tracking deletion/destruction of records in accordance with retention policy
  • Providing support for reconciliation of data in the different databases and systems

Ad hoc requests include:

  • Supporting the Quality Manager in managing documentation in scope of the quality management system (QMS)
  • Supporting the Quality Manager in managing training by acting as training co-coordinator
  • Recording training and managing training records and materials
  • Providing support for filing of accounts-related documentation
  • Maintaining the fixed assets register
  • Providing administration support as required to other members of the team
  • Back-up reception support, including support for meeting administration
  • Maintenance of mailing lists
  • Proposing business process improvements relating to documentation management

Requirements:

  • At least 2 years' experience in an administrative role, including responsibilities relating to documentation management
  • Excellent working knowledge of Microsoft Office applications

Desirable:

  • Level 7 qualification in business, information systems or other relevant discipline
  • Experience using a CRM tool
