Job Overview

Office Manager/Senior Administrator

Key Responsibilities:

* Engage with Directors and their teams to understand business needs and priorities

* Provide comprehensive diary management, making decisions on your own initiative to resolve conflicts and maximise Directors time

* Carry out research & administrative support to strategic internal projects where required

Data collection from software systems and reporting performance of department KPIs and identifying trends

.Developing meaningful reports and dashboards for senior management

* Manage communications and monitor the Director's email inboxes, taking appropriate action, escalating, or delegating accordingly

* Collaborating with cross-functional teams to assist with day-to-day business activities

* Managing databases and filing systems

* Taking notes at meetings, preparing meeting minutes, and subsequently distributing to all participants

* Management of relevant administrative tasks, including preparation of papers to support meetings, filing of relevant documentation etc.

* Working on company social media platforms and assisting in updating & maintaining company website

* Ad hoc personal work for Directors

Experience/Requirements

* 3- 5 years Personal Assistant experience supporting and working at senior executive level

.Qualification in Business, Level 5 or higher

* Experience in the construction or engineering industry advantage but not essential

*

* Extensive experience in creating documents and spreadsheets, using office software such as MS Word, Excel, and PowerPoint

.Experience in Data Analysis

* Meticulous attention to detail

* A strong, confident communicator with both excellent written and oral communications skills, with the ability to interact with senior management and clients

* Ability to build relationships with and work as part of a team, ensuring seamless service to the company and clients

* Confident in exercising own judgement and make decisions to prioritise, challenge, negotiate and influence

* Ability to balance multiple and competing demands and remain calm under pressure

* Proficiency in IT systems
