Job Description
We are seeking a highly organised and detail-oriented **Office Administrator** to join our client’s team in East Galway. This role is ideal for a proactive individual with excellent communication skills, a strong work ethic, and the ability to manage multiple tasks efficiently. The successful candidate will play a key role in ensuring the smooth operation of our client’s office and supporting various administrative and operational functions.
Key Responsibilities
Phone Answering and Communication:
- Professionally handle incoming calls, take messages, and relay information to the appropriate team members.
- Act as the first point of contact for clients, suppliers, and visitors, providing excellent customer service.
Office/Accounts Administration:
- Address and resolve day-to-day operational issues as they arise.
- Ensure the office runs smoothly by managing administrative tasks and supporting team members as needed.
- Process invoices and ensure timely payment tracking.
- Handle copying and filing of dockets and other financial documents.
Online Sales Order Processing:
- Manage online sales orders from receipt to dispatch.
- Prepare and print necessary paperwork, including dispatch dockets.
- Coordinate with couriers for timely collection and delivery of orders.
Experience
- Previous experience in an office administration or similar role is preferred.
- Excellent verbal and written communication skills, with a professional phone manner.
- Strong ability to multitask, prioritise, and manage time effectively
- Attention to Detail: High level of accuracy in handling data, invoices, and product information.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to work independently as well as part of a team in a fast-paced environment.
- Resourceful and proactive in resolving day-to-day issues.
