The Role
My client, a leading private healthcare provider is seeking an experienced and dynamic Executive Assistant to join their team. This is a full-time, permanent position based in North Dublin City.
As the Executive Assistant, you will be responsible for providing high-level administrative support to the CEO, managing communications, scheduling, and documentation, and facilitating collaboration with senior leaders, consultants, and department heads
Tasks & Duties
- Oversee the CEO’s office, ensuring smooth daily operations, efficient filing systems, and adequate office resources.
- Manage a highly active calendar, control access to the CEO, handle email correspondence, and anticipate key tasks and deadlines.
- Organise meetings, prepare agendas and documentation, arrange venues and technical setup, and record minutes for key management meetings.
- Prepare, manage, and circulate internal and external communications on behalf of the CEO, handling routine matters independently.
- Conduct research, prepare presentations, reports, and operational updates, ensuring timely provision of materials for decision-making.
- Build and maintain relationships with senior leaders, consultants, and department heads to progress actions, plans, and objectives.
- Coordinate CEO travel, accommodation, and events, including preparing expense claims and liaising with relevant teams.
- Maintain internal email accounts, phone directories, meeting schedules, leave records, and invoice processing to support office efficiency.
- Work flexibly in a dynamic environment, adhere to organisational policies, maintain confidentiality, and assist with complaints management as needed.
- Develop and implement efficient administrative processes, support executive initiatives, and ensure the CEO’s office operates effectively.
Experience, Knowledge & Qualifications
- Minimum of a Leaving Certificate or further education qualification (QQI/3rd level); degree-level education desirable.
- Minimum of 5 years’ experience as an Executive or Personal Assistant, providing high-level support and interacting professionally with internal and external stakeholders.
- Demonstrates tact, diplomacy, and the ability to manage confidential or sensitive matters with discretion in a fast-paced environment.
- Proficient in Microsoft Office suite; experience with systems such as TAMS, SAGE, and Q-Pulse is desirable; familiarity with the healthcare environment is advantageous.
- Highly organised, able to prioritise competing tasks, work to tight deadlines, and maintain exceptional accuracy and attention to detail.
- Self-starter with initiative, critical thinking, problem-solving abilities, strong written and verbal communication skills, and a focus on delivering excellent service.
